A contact list can look impressive and still leave you unsure who needs what next. Before adding more names, try a short review of the relationships already entrusted to you.
For property agents exploring eXp with me, this is a useful question to bring into a brokerage discussion: what will help you maintain a clear, respectful follow-up system in your actual working week?
Choose ten contacts you already have a legitimate reason to retain. This is a suggested exercise, not a performance claim. Check the last real conversation rather than relying on an old label such as “hot buyer”. Record only information needed for the relationship.
NEED → PERMISSION → AGREED ACTION → AGREED TIME
A useful review can also end with “no contact now”.
Use “unknown” when permission, timing or a requirement is missing. Do not turn silence into interest. Keep refusals visible so a second channel does not restart an unwanted approach. Check duplicates before creating another record, and review old information under your organisation’s retention process.
A useful weekly habit is to ask: which promised actions are due, which records need correction, and which people should receive no further contact? More messages are not automatically a better result.
If you are considering joining eXp with me, ask for a practical demonstration of how you would record a conversation, find an agreed task and honour a refusal. Ask who helps when you get stuck, what tools and support are included, what costs extra and what you remain responsible for. Confirm current South African arrangements in writing; do not assume a demonstration means every tool or service is included.
I welcome one practical question from your own working week. Please leave client names and private contact details out of public comments or an initial AI conversation.
Start with my CAS career advisor, or visit my website. If you prefer a conversation, call or WhatsApp 071 146 4871, Monday, Wednesday or Friday, 10:00–11:00 SAST. Dedicated 20-minute conversations need my personal confirmation.
Which part of your database is hardest to keep clear: need, permission, next step or timing? Voluntary feedback is welcome. There is no obligation to join, and asking a question does not enrol you in daily messages.
