A visitor register can tell you who came through the door. A follow-up plan helps you remember what they needed and what you agreed to do next.
Before your next show house, prepare a simple note with four headings: what the buyer needs, what they thought of this home, the next step they requested, and the channel and time they agreed to use.
“Would you like the floor plan, a second viewing, or time to think?” is more useful than assuming every visitor wants a call the next morning. Ask when and how they would like to hear from you. Record a refusal just as carefully as a request.
If someone wants information on this property, send what they requested. Ask separately before adding them to a general property list. A visit or a number in a register does not establish permission for recurring marketing.
“The kitchen felt small to us” is buyer feedback. “The kitchen is why the home has not sold” is a conclusion that needs more evidence. Keep the original point clear, then compare it with other feedback and the property's position in the market.
When reporting to the seller, distinguish enquiries, people who attended, requests for another viewing and written offers. If the show house was quiet, say so. Do not turn a page view into a buyer or an expression of interest into an offer.
AI can help turn a fictional set of notes into a checklist or a draft seller update. For example: “Using these made-up notes, separate visitor feedback from my observations. List only the next steps each person requested. Flag anything unclear.”
Check every draft yourself. Do not upload client details to an AI service unless you have the necessary authority and understand its privacy arrangements. AI cannot supply missing feedback or agree a follow-up on a buyer's behalf.
After the event, complete the agreed next steps and update your records. If no contact was requested, leave it there. The useful habit is a clear promise that you can keep.
